This Privacy Policy explains how Maddog Performance Health & Wellness collects, uses, shares and protects your personal information when you use this website, fill in one of our forms or contact us. It is written to meet South Africa’s Protection of Personal Information Act 4 of 2013 (POPIA). Our gym, Maddog Performance Institute, has its own Privacy Policy.

1. Who We Are

2. Our Information Officer

Questions or requests about your personal information can be sent to our Information Officer at info@maddogperformance.co.za with the subject line “POPIA request”.

3. What Information We Collect

Information you give us

  • Contact form: your first and last name, email address, phone number, the service you are interested in and your message.
  • Booking request form (Pricing page): your name, phone number, email address, the service you want, your preferred time and your message.
  • Newsletter sign-up: your email address.
  • When you contact us directly by WhatsApp, phone or email: your name, phone number or email address and whatever you choose to tell us.

Giving us your details is voluntary, but without your name and contact details we can’t respond to your enquiry.

Information collected automatically (visitor tracking)

We use Google Analytics to understand how people use our website. It records things like the pages you visit, how long you stay, the type of device and browser you use, your approximate location (city or region, worked out from your IP address) and how you found our site (for example Google search or Instagram).

We also record when someone clicks a WhatsApp, phone, email or online-booking link, or starts or sends one of our forms, so we can count how many enquiries the website produces. These records note which button was clicked and on which page. They never include your name, email address, phone number or anything you type into a form.

Health information

Health information is “special personal information” under POPIA and is given extra protection. Our website forms do not require any health information. If you choose to include health details in a form, email or WhatsApp message (for example an injury, condition or medication), we use them only to respond to your enquiry and recommend a suitable service, we treat them as confidential, and we only share them with the practitioner who needs them to help you. Please only share what is needed. You can always discuss details in person.

Clinical records made during your treatment (for example by our doctor, nurse or physiotherapist) are kept confidentially, separately from this website, under the professional confidentiality rules that apply to healthcare practitioners. This policy covers the information collected through our website and enquiries.

4. Why We Use Your Information

  • To reply to your enquiry and give you the information you asked for.
  • To arrange classes, sessions, appointments or a free trial you have asked about.
  • To send you our newsletter, if you signed up for it. You can unsubscribe at any time.
  • To understand how our website is used and improve it.
  • To meet our legal obligations.

We only use your information for these purposes, or for a purpose closely related to them. We do not sell your personal information, and we do not send you marketing you have not asked for.

By sending us a form you consent to us using your details to respond to you. You may withdraw your consent at any time by contacting us. This will not affect anything we did with your information before you withdrew it.

5. Who We Share Your Information With

We only share your information with service providers who help us run this website and respond to you. They may only use it for that purpose:

  • Web3Forms delivers the forms on this website to our email inbox.
  • Google provides Google Analytics (visitor tracking) and Google Maps (the map on our contact page). Loading these may share your IP address and browser details with Google.
  • Netlify hosts this website, and Cloudflare delivers it quickly and protects it from attacks. Like all web hosts, their servers record basic technical information such as IP addresses to deliver and secure the site.
  • WhatsApp (Meta) carries any WhatsApp messages you choose to send us.
  • Fresha (our online booking platform) and Bookem (physiotherapy bookings) are separate platforms with their own privacy policies, which we do not control. When you book through them, they collect your details and share your booking with us so we can provide your appointment.
  • Our practitioners (doctor, nurse and physiotherapist) receive the details needed to provide the service you booked or asked about.
  • Instagram and Facebook, if you follow a link to our social media pages. Those platforms have their own privacy policies.

We may also disclose information where the law requires it.

Information sent outside South Africa

Some of these providers store information on servers outside South Africa (for example in the United States or Europe). Where this happens, we rely on providers that are bound by data-protection laws, rules or agreements that give your information a level of protection similar to POPIA, as required by section 72 of POPIA.

6. Cookies

Cookies are small files saved by your browser. This website itself does not use cookies to identify you, but Google Analytics sets cookies (named “_ga” and “_ga_…”) so it can tell new and returning visitors apart. These cookies can last up to two years.

You can block or delete cookies in your browser settings, or install Google’s Google Analytics opt-out browser add-on. The website will still work if you do.

7. How Long We Keep Your Information

  • Enquiries (form emails, WhatsApp chats and emails): kept for up to 12 months, then deleted, unless you become a client or member, in which case we keep what we need to provide our services.
  • Newsletter: your email address is kept until you unsubscribe.
  • Visitor tracking: Google Analytics data is kept according to Google’s data-retention settings and is not linked to your name or contact details.

We may keep information for longer if the law requires it.

8. How We Protect Your Information

This website is served over a secure, encrypted connection (HTTPS). Access to enquiries and records is limited to the people at Maddog Performance Health & Wellness who need it to help you. No system is completely secure, but we take reasonable steps to prevent your information being lost, misused or accessed without permission. If we become aware of a breach that affects you, we will let you and the Information Regulator know as POPIA requires.

9. Your Rights

Under POPIA you have the right to:

  • Ask whether we hold personal information about you, and request a copy of it.
  • Ask us to correct information that is wrong or out of date.
  • Ask us to delete your information.
  • Object to us using your information, including for direct marketing.
  • Withdraw your consent at any time.

To use any of these rights, email info@maddogperformance.co.za. We may need to confirm your identity before acting on a request.

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.

10. Children

Our wellness services are intended for adults. Enquiries or bookings for anyone under 18 must be made by a parent or legal guardian, and we only collect a child’s information with that parent’s or guardian’s consent. If you believe a child has sent us information without consent, please contact us and we will delete it.

11. Changes to This Policy

We may update this policy from time to time, for example if we start using a new service. The latest version will always be on this page, with the date it was last updated at the top.
